Privacy Policy

Last updated August 5, 2026. Western Pennsylvania FIRST LEGO League (PAFLL) is administered by BrainSTEM Without Borders. This policy explains how we use information submitted through pafll.com and its coach, Season Pass, event, and email tools.

Information we collect

We collect coach account information; coach names, email addresses, and phone numbers; team number, team name, organization, city, and Division; Season Pass orders and payment status; event registrations, waitlists, changes, cancellations, and attendance; messages sent through the site; and technical information normally recorded for site security, such as IP-address hashes and error logs.

We do not ask for student names, ages, or other student personal information through this site. Coaches should not enter student information in team names, notes, or messages.

How we use information

We use information to administer the Western PA FLL season, communicate with coaches, process and reconcile Season Pass payments, manage event capacity and waitlists, prepare tournament schedules and check-in lists, maintain operational and accounting records, prevent abuse, and troubleshoot the service.

What is public

The public team directory displays only a team’s FIRST team number, team name, and Division. Coach contact information, organization, city, payment information, and student information are not displayed publicly.

Who may receive information

Authorized PAFLL administrators and assigned tournament directors may access information needed for their responsibilities. Payment providers such as WooPayments, Stripe-related services used by WooPayments, PayPal, and financial institutions process transaction information under their own privacy terms. Our website host, email provider, and security or backup providers may process limited information needed to provide those services. We do not sell coach or team information.

Email communications

Transactional messages include account, team, payment, registration, cancellation, and waitlist notices. PAFLL may also send season announcements to current coaches and, when uploaded by an administrator, prior-season coach contacts. Coaches may ask to be removed from non-operational announcements, but active teams must continue receiving messages required to administer their registrations.

Cookies and account security

WordPress and WooCommerce use cookies needed for login, account security, carts, checkout, and administrative preferences. Payment providers may set their own necessary cookies. Coaches are responsible for protecting their passwords and should notify PAFLL if they believe an account has been compromised.

Retention and requests

We retain information only as long as reasonably needed for season operations, historical participation records, accounting, legal obligations, dispute resolution, and security. To request a copy, correction, or deletion of your coach information, email gwalton@pafll.com. Some transaction, audit, or participation records may need to be retained after an account is removed.
